Add Controls and Reduce Risk for Offsite Records Storage
The Situation
A large, multi-division, multi-location firm wanted to add controls and reduce the risk for offsite storage records.
The Challenge
The company had multiple offsite storage vendors, disparate methods of storing and retrieving records, limited controls for adding new users, inconsistent data requirements for records, and lack of clear ownership for records.
The Objective
Business Intelligence Solutions (BIS) was was hired to assess technology options for improving the controls and reducing the risks, and to develop requirements for a consistent approach for records ownership, metadata quality, and records labeling.
Resolution
BIS developed a comprehensive picture of the offsite inventory across vendors and the firm’s requirements for offsite storage. BIS then conducted an assessment of technology options vs. these requirements and selected a technology solution. BIS partnered with the technology provider and business experts to define requirements and to develop, test, and rollout the new technology to offsite storage users. BIS developed a regional rollout approach to sequence the work
and to level the workload. The solution resulted in consistent user access controls, records labeling, and categorization of contents.
